The Middlesex Sheriff’s Office (“MSO”) is seeking a qualified professional for the position of Senior Payroll Assistant (“Senior Assistant”) to work in the Human Resources Department at the Administrative Office located in Woburn, MA. The Senior Assistant will assist the Payroll Director with all payroll needs, including generating bi-weekly payroll, projections, payroll system information requests, as determined to be allowable and necessary, and any other projects as required and assigned by the Payroll Director. The hours of work will be 8:00a.m. to 4:00p.m. on Monday through Friday and subject to change based on the discretion of management and the needs of the Human Resources Department. This is a full-time, exempt, at-will employment position. The position reports to the Payroll Director.

The individual selected for the position of Senior Payroll Assistant must have the ability to exercise good judgment and focus on detail as required by the job. The individual selected shall also be cognizant of the confidential and sensitive nature of working in a law enforcement agency and must comply with all institutional rules regarding safety and security.
Qualifications:

Additional responsibilities of the Senior Assistant include, but are not limited, to:
- Generating all payroll reports and leave accruals when applicable;
- Assisting in monitoring and reconciling employee training hours with Training Academy team;
- Reviewing and reconciling all employee reimbursements per MSO policy and collective bargaining agreements for compliance and accuracy;
- Generating final balancing report from Commonwealth Information Warehouse (“CIW”) in the absence of the Payroll Director;
- Reviewing and verifying daily paperwork and data entry performed by Payroll Assistants for accuracy;
- Reviewing all military, garnishments, sick conversion, deferred compensation payroll;
- for MSO employees;
- Generating the daily payroll report for entry into Human Resource Compensation Management System (“HR/CMS”);
- Facilitating the oversight and processing of all recruitment and retention incentives;
- Performing daily, weekly, bi-weekly, monthly or yearly audits and any special audits as needed by the Payroll Director;
- Processing and balancing Administration and Executive staff payroll;
- Performing payroll data entry and functions at various times of the year or as needed by the Payroll Director, Assistant Director / Human Resources or Assistant Superintendent / Human Resources
- Interpreting labor agreements and ensuring employee benefits are paid in accordance with applicable labor agreements;
- Assisting with processing payroll for other members of the payroll team due to absences;
- Performing other payroll/human resources duties as required.

Qualifications:
- Bachelor’s degree with two (2) to four (4) years of experience in administering payroll or data entry; supervisory experience preferred;
- Working knowledge of federal payroll guidelines;
- Understanding and maintaining current knowledge of HR/CMS and Commonwealth of Massachusetts Human Resources Division (“HRD”) payroll guidelines;
- Strong working knowledge of PeopleSoft preferred;
- Proven knowledge of Microsoft Word, Excel, and Access;
- Must be able to work independently in a fast-paced environment, be customer service oriented, able to handle a large volume of work and pay close attention to detail;
- Familiarity with collective bargaining agreements;
- Strong oral, written, organizational and time management skills with the ability to maintain comprehensive and cohesive records;
